Administrative Asistant, Program Services Department

REPORTS TO: Manager, Program Services

PRIMARY AREAS OF WORK: The incumbent performs routine and special secretarial and other administrative tasks and provides support and coordination of the office related activities.

SPECIFIC DUTIES:

Receives telephone calls and visitors, screening those, which can be handled personally. Must exercise considerable judgement in responses to contacts and appropriate referrals with information to the supervising manager or director.

Types a variety of correspondence, charts, graphs and related reports ensuring accuracy and efficiency and conveying a high degree of professionalism.

Schedules appointments and makes other commitments for the manager to attend meetings, conferences, etc. Efficiently prepares materials and makes all arrangements for meetings as required.

Reviews incoming correspondence to determine appropriate action or referral when necessary. Prepares responses for review by supervisor when possible.

Reviews, prior to review by originator, outgoing correspondence and action documents to assure accuracy, proper format, content, etc. Refers questions to the originator as necessary.

Maintains appropriate records and files and assembles and disseminates information to other program units, staff and the public.

Assembles and summarizes information from files and documents contained in the office or from other available sources for use by the manager and other department staff.

Maintains active control records on incoming and outgoing correspondence and action items to ensure meeting deadlines and timely reply.

Maintains the inventory of office equipment, supplies and materials and places orders, receives orders and verifies charges.

Supports volunteer committees through data entry and meeting preparation (ordering food, setting up meeting room, etc.).
Participates on relief rotation schedule for the reception desk.

Participates in council wide data entry projects, and other projects as needed.

Performs other related duties as required.


MINIMUM QUALIFICATIONS:

High school diploma or GED plus two years responsible clerical/secretarial experience or successful completion of secretarial school and one year of reasonable secretarial experience.
Experience in Microsoft Office 2000 and 2003.
Ability to interact in a professional manner with the public, volunteers, and staff of all levels (including senior management).
Ability to type 50-60 wpm using a personal computer.
Excellent written, verbal and interpersonal communications skills.

PREFERRED QUALIFICATIONS:

Preference may be given to candidates possessing demonstrated secretarial experience and extensive experience with Microsoft Word, Excel and Access in a fast paced environment requiring extensive telephone and public contact.
