Special Assistant to the Deputy Executive Director

REPORTS TO:          Deputy Executive Director

PRIMARY AREAS OF WORK: The incumbent is responsible for performing duties essential to the support and the effective functioning of the office of the Deputy Executive Director. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Work requires continual attention to detail in research and writing materials, including establishing priorities and meeting deadlines. Independent judgment is required to plan, prioritize, and organize diversified workload, recommends changes in office practices or procedures. The incumbent performs administrative tasks and provides support and coordination of the office related activities. Also, answers non-routine correspondence and assembles confidential and sensitive information.

SPECIFIC DUTIES:

  • Receives and reads incoming reports, correspondence, communiqués, etc. addresses issues with the guidance of the Deputy Executive Director.  Incumbent screens items for follow-up by the Deputy Executive Director or appropriate person along with the necessary background material and/or instructions. Actions taken personally include research and writing replies/communiqués, collecting data, preparing reports for forwarding to other GSCNC officials.
  • Assists the Deputy Executive Director in organizing appointments and conferences. Fully briefs the Deputy Executive Director on all matters to be considered before the scheduled meetings.
  • Under the direction of the Deputy Executive Director, takes the lead in special projects, which may include convening and leading meetings on behalf of the Deputy Executive Director, monitoring for example-legislative action in areas critical to the council, and other projects as needed.
  • Assembles and summarizes information from meetings, files and documents contained in the office or from other available source for the use of the Deputy Executive Director.
  • Tracks work-in-progress, action documents and incoming correspondence in order to ensure timely reply or action.
  • Reviews outgoing correspondence to ensure factual correctness, conformance with general policy, procedural accuracy, and adequacy of information. Brings any questions/concerns to the attention of the originator or to the Deputy Executive Director.
  • Assists in making travel/itinerary arrangements as needed.
  • Assembles confidential and sensitive information.
  • Plans, prioritizes, and organizes diversified workload.
  • Maintains a flexible work schedule to include occasional evening and weekend meetings and activities.
  • Provides specific support to the Deputy Executive Director as requested.
  • Performs other duties and responsibilities as assigned.

MINIMUM QUALIFICATIONS:
Bachelor's degree or equivalent work experience.
Demonstrated ability to communicate effectively verbally and in writing with a variety of audiences.
Strong analytical skills and the ability to exercise initiative and sound judgment in handling diverse responsibilities.
Superior client relations skills as well as in-depth experience at this level.
Proficiency in computer applications.
